Terms and Conditions for eLearning

This agreement sets out the terms and conditions under which individuals and agencies buy eLearning from Shelter Cymru. This agreement supersedes any existing agreement for work already agreed or carried out and cannot be changed or amended for the duration of the eLearning course.

An internet connection is required. We recommend that before beginning your course that you ensure that you install the most recent updates for your device and browser.

  1. Booking confirmation

1.1. Once purchase has been completed online through the Shelter Cymru Training Store, a contract will be implied.

1.2 Where multiple licences have been purchased for organisational bookings, Shelter Cymru will supply a Coupon Code and instructions for its use to the lead purchaser. The lead purchaser will be responsible for distributing the code and instructions to the number of learners covered by the booking.

1.3 Once purchased, learners will have 6 months’ access to the eLearning materials. This can be extended by agreement with Shelter Cymru. Requests must be made in writing to [email protected] and must include the original order number.

1.4 Ownership of copyright in all materials written and produced by Shelter Cymru belongs to Shelter Cymru unless agreed otherwise. Reproduction of the materials is prohibited without prior permission from Shelter Cymru and will only be agreed in exceptional circumstances. Shelter Cymru’s decision will be final.

  1. Fees, invoicing and cancellation

2.1. Payment by debit/credit card – Immediate payment at checkout will provide you with access to eLearning upon order confirmation unless you have made an organisational booking for more than one person. In such circumstances, the process in 1.2 applies.

2.2. Payment by Invoice – Shelter Cymru will invoice the individual/organisation for course licence(s) purchased. Access to eLearning prior to full receipt of payment will be at the discretion of Shelter Cymru.

2.3. Cancellations by customer after payment of course licence(s) will incur 100% of the cost.

2.4. The fee cannot be altered during the course of this agreement unless it is superseded by a new agreement.

2.5. All payment terms are 28 days. Late payment may result in access to eLearning being revoked and your account will be suspended until payment is settled.

2.6. Transfer of course licences between learners is not possible after the course has been assigned to a learner.

2.7. Shelter Cymru reserve the right to remove any learner from a course where it can be demonstrated that the learner has not shown commitment to the course or evidence of plagiarism is found. This would only occur after some contact and communication with the learner and the agency as appropriate. Should a learner enrol again at a later date, the full cost of the training course will be met by the individual / agency.

Please note: Refunds will not be issued in cases where a learner did not receive the coupon code/ login instructions email due to issues like failure of purchaser to pass on email to learners, restricted emails, bounced emails, or any other system issues.

If a technical failure at your home or workplace prevents access to the eLearning, you are not eligible for a refund. If the technical problem is due to our error, we will consider issuing a refund.

Terms and Conditions for group bookings

This agreement sets out the terms and conditions under which the purchaser purchases a group booking by Shelter Cymru and supersedes any existing agreement for work already agreed or carried out.

  1. Booking confirmation

1.1. Once the online booking is made or firm confirmation of booking is received by email at [email protected], a contract will be implied.

1.2. While every effort has been made to ensure that our eLearning courses are accessible it is the purchaser’s responsibility to confirm with learners that eLearning is a suitable learning medium for them and to consider whether live training would be more appropriate for those who would find accessing and completing eLearning difficult.

1.3. Ownership of copyright in all materials written and produced by Shelter Cymru belongs to Shelter Cymru unless agreed otherwise. Terms and Conditions for Live Online and In-House courses

This agreement sets out the terms and conditions under which the purchaser purchases a place on a workshop/briefing and supersedes any existing agreement for work already agreed or carried out.

  1. General

1.1          These terms and conditions apply to all confirmed courses.

1.2          A confirmed course is any course booked using a confirmation of booking form.

1.3          All confirmation of booking forms must be signed and returned to Shelter Cymru 4 weeks prior to the date of the course.

1.4          Less than 4 weeks’ confirmation will be accepted at the discretion of Shelter Cymru.

  1. Fees

2.1          Invoices will be sent at the time the booking is confirmed or no less than 2 months prior to the delivery date, whichever is the latest. Invoices must be paid prior to training delivery date.

2.2          Payable fees consist of all charges shown on confirmation of booking, subject to any cancellation charges in 3. or 4. below.

  1. Cancellation by purchaser

3.1          Cancellation of a confirmed course must be made as soon as possible by phone on 01792 483072, followed by cancellation in writing by email to [email protected] and [email protected].

3.2          100% of the total fee, as detailed in confirmation of booking, is payable where 21 or less days’ notice of cancellation is given.

3.3          50% of the total fee, as detailed in confirmation of booking, is payable where 42 – 22 days’ notice of cancellation is given.

3.4          Where the purchaser cancels a confirmed course but wishes to arrange an alternative date for the same, or substantially the same course, the full fee plus a 5% (of total fee) administration fee may be charged.

3.5          Where a course’s date is rearranged in 3.4, the cancellation fees in 3.2 and 3.3 will not apply.

  1. Cancellation by Shelter Cymru

4.1          Cancellation will be made in writing.

4.2          Where possible (at the discretion of Shelter Cymru) the same, or substantially the same, course will be provided on an alternative date; agreed between Shelter Cymru and the purchaser.

4.3          If a suitable alternative date cannot be agreed then a full refund will be provided.

  1. Delegates

5.1          All courses are provided subject to the maximum number of delegates as quoted in the confirmation of booking.

5.2          The purchaser must not charge any delegate any fee for attending a confirmed course unless express written agreement is obtained from Shelter Cymru prior to the course.

  1. Online platform arrangements and & Equipment

6.1          Training will be carried out by Zoom meetings unless stated otherwise.

6.2          The link to the meeting and any materials for use in the training will be sent by email to the individual identified by the Purchaser in the confirmation of booking form, at least 48 hours prior to the event. It is the responsibility of the purchaser to ensure all delegates are provided with the Zoom link and are able to access necessary equipment and internet to enable them to join and participate in the meeting.

6.3          The trainer will admit the delegates arriving at the training via the link supplied. The purchaser is solely responsible for ensuring only the delegates authorised to attend the training are provided with the meeting link as no more than the maximum number for delegates can be admitted.

6.4          Training may only be recorded by advance agreement from Shelter Cymru. No requests to record training on the day will be accepted. Requests to record training must be made in writing to [email protected] and will only be accepted in exceptional circumstances. Shelter Cymru’s decision on such requests is final.

  1. Training materials

7.1          The cost of training materials supplied to delegates is included in the trainer and materials fee. Materials will be sent electronically as detailed in 6.2 above

7.2          Shelter Cymru cannot supply copies of materials for anyone not attending the course.

7.3          Shelter Cymru training materials are subject to Shelter Cymru copyright.

  1. Standards and complaints

8.1          Shelter Cymru endeavours to ensure that all its In-House Training is accurate, and appropriate to the audience.

8.2          Unless the purchaser wishes to use their own procedures, Shelter Cymru requests feedback from delegates using Shelter Cymru’s standard feedback forms which will be sent to the individual identified by the Purchaser as referred to in 6.2 above to be returned to [email protected].

8.3          Where Shelter Cymru uses its own feedback forms, a summary of feedback received can be supplied to the purchaser on request

8.4          Where the purchaser uses its feedback procedures, a summary of feedback received must be supplied to Shelter Cymru.

8.5          Where a purchaser wishes to raise a complaint concerning any aspect of Shelter Cymru In House Training, the Training Team Leader should be contacted on 02920556120 or [email protected]

Please note: Refunds will not be issued in cases where a learner did not receive the joining instructions email due to issues like failure of purchaser to pass on email to learners, restricted emails, bounced emails, or any other system issues.

If a technical failure at your home or workplace prevents access to the In-House training, you are not eligible for a refund. If the technical problem is due to our error, we will consider issuing a refund.
